About the assignment

We are looking for an experienced Document Coordinator (level 3) for a large and socially important investment program within Region Stockholm – Tvärbanan Kistagrenen.

The program is responsible for the expansion of Tvärbanan between Norra Ulvsunda and Helenelund, a distance of approximately 8 km with nine new stops passing through Stockholm, Sundbyberg, and Sollentuna. The project is currently in an intensive implementation and contracting phase where structured and accurate document management is crucial.

You will be a key person in the program organization responsible for coordinating, governing, and ensuring the quality of all program and project documentation.

Assignment content

In the role of Document Coordinator, you will be responsible for ensuring that document management is conducted according to the Traffic Administration's guidelines and working methods. You will act as the functional manager for document control within the program.

Responsibilities include, among others:

  • Coordinate and be responsible for all program and project documentation

  • Ensure that programs and projects follow the Traffic Administration's guidelines for document management

  • Be the functional manager for the program management plan for document control and associated routines

  • Administer the program's document management system (permissions, folders, structures)

  • Be responsible for the program's functional mailbox connected to the document management system

  • Train and inform new program members in project documentation

  • Coach and lead resources within the documentation function

  • Be the contact person for the registrar and archivist

  • Be responsible for the case number list and create new cases in the diary system

  • Register documents and ensure correct naming according to the document management plan

  • Coordinate and update the program's document management plan

  • Support projects with administration, cleaning, and structuring of document areas

  • Export member lists and handle administrative tasks related to document control

We are looking for someone who

  • Has several years of experience in document management within large projects or programs, preferably within infrastructure or public sector

  • Has a very good understanding of registration, archive requirements, and document control

  • Is used to working in complex organizations with many stakeholders

  • Is structured, meticulous, and quality-conscious

  • Has good communication and teaching skills

  • Is self-driven and sees improvement opportunities in working methods and routines

  • Has experience in leading or coaching others (meritorious)

Placement & working method

  • The assignment allows for work both remotely and on-site

  • Offices are located in Kungsholmen and project office in Rissne

  • On-site presence is according to the needs of the business and the client's approval

  • The Traffic Administration provides a computer and workplace

Other information

  • Confidentiality agreement must be signed before the start of the assignment via Magnits portal

  • The consultant may need to provide personal data during onboarding

  • Overtime work may occur according to the Traffic Administration's guidelines

  • The scope of the assignment must never exceed 40 hours per week
